How to Legalize New York Documents for International Use
An apostillé issued by the New York State Department of State (NYSDOS) certifies the authenticity of public documents so they can be recognized abroad in countries that are members of the 1961 Hague Apostille Convention.
Crucial Note for New York: The NYSDOS requires an often mandatory intermediate step — authentication by a County Clerk—before the state will issue the apostillé. Exception is the documents issued with the signature of the Secretary of the state of New York or its deputies.
Processing Time: Regular processing is up to 5 business days. We provide expedited (same day) processing for extra fee.
Corporate Records (Certificate of Incorporation, Articles of Organization, Certificate of Status): must be certified by the New York Department of State, Division of Corporations. No additional County Clerk step is needed if the document is signed by a State official. Other corporate documents (minutes of meetings, bylaws, corporate resolutions, etc.) must be notarized and authenticated by a County Clerk prior to its apostillization.
Real Property Deed or Records: must be certified. For or all boroughs of New York City except Staten Island, the records can be certified in any Borough City Register Office. For Staten Island, the records can be certified in Richmond County Clerk. For real property, located outside New York City, records may be obtain in a county where the property is located.
Vital Records (Birth, Marriage, Death Certificates, Divorce Decrees): vital records issued by the New York State Department of Health and signed by the Director of Vital Statistics may be submitted directly for Apostille/Authentication without prior authentication by a county clerk.
Vital records issued by the New York City Department of Health must first be certified by the county clerk. Additionally, birth and death certificates must be accompanied by a Letter of Exemplification prior to being submitted to the New York County Clerk’s office. Birth, death, and marriage certificates issued and signed by a local official (i.e. city/town/village clerk) must first be certified by the County Clerk in the county where the document was issued.
Academic / Notarized Documents (Diplomas, Transcripts): must be notarized by a New York Notary Public. The notary's signature MUST then be certified by the County Clerk in the county where the notary is qualified before submitting to the NYSDOS (Certificate of Authentication). Normally, the diploma and transcript to it are two separate documents. We may contact your school on your behalf for retrieving and notarization of your credentials. Please note, that simple attachment of notary stamp to a document does not result in proper notarization. The notary has to complete the notarial Jurat or Certificate of Acknowledgment to make the document eligible for further authentications.
Power of attorney, Affidavits. In order to obtain an apostillé the power of attorney has to be notarized by a notary public and authenticated by a county clerk. Please note, that simple attachment of notary stamp to a document does not result in proper notarization. The notary has to complete the notarial Jurat or Certificate of Acknowledgment to make the document eligible for further authentications.
Divorce judgement has to be certified by a court's clerk.

CORPORATE RECORDS IN NEW YORK: A GUIDE
1. CONFIRMATION OF A COMPANY’S EXISTENCE (GOOD STANDING/STATUS). The key document is the Certificate of Status (often called a Certificate of Good Standing). This is a single, $25 state-fee document issued by the Division of Corporations that confirms the entity exists, is compliant with biennial statements, and has not filed for dissolution.

New York Note: Short-Form vs. Long-Form. Unlike some other states which routinely offer both a "Short-Form" and a "Long-Form," the primary New York Certificate of Status operates essentially as the Short-Form. This means it confirms the company's active legal status but does not typically include a chronological list of all previously filed corporate documents (such as amendments, mergers, or name changes). If a foreign authority specifically requests a document detailing the complete filing history of the entity, the accompanying required documentation in New York is generally obtained separately via certified copies of the specific records on file, rather than through a single, comprehensive "Long-Form Certificate of Status."

OUR FEES
Certified business records: we charge flat of $100 per certified document (certified copy of documents available for request and certification by the New York State Department of State). All documents are requested in an expedited mode (within 24 hours).
Apostille: we charge Apostille flat fee of $200 per document for regular processing (up to 5 business days) or $300 for expedited processing (24 hours).
Notary services: free of charges in our Manhattan office. For traveling notary services we charge $200 within the city of New York.
If you need us to ship your documents overseas, we charge according to DHL international shipping fees.
