District of Columbia (D.C.) State Apostillé

Apostillé Process for District of Columbia Documents
How to Legalize D.C. Documents for International Use

An apostillé issued by the DC Office of Notary Commissions and Authentications (ONCA) certifies the authenticity of public documents so they can be recognized abroad in countries that are members of the 1961 Hague Apostille Convention.

Crucial Note for the District of Columbia: The District of Columbia process is direct. The Office of Notary Commissions and Authentications does not require a mandatory intermediate step—such as authentication by a County Clerk—for documents signed by a District of Columbia notary public, the United States Superior Court for the District of Columbia, or a certified District of Columbia government official. You submit the document directly to the office for the apostillé.

Processing Time: for mail-in requests, the typical processing time is two to three business days after receipt.

Corporate Records

  • Documents: Articles of Incorporation, Articles of Organization, Certificate of Good Standing (also known as a Certificate of Existence or Certificate of Registration), and other official corporate filings.

  • Requirement: These must be certified copies obtained from the District of Columbia Department of Licensing and Consumer Protection, Corporations Division via a copy request. No additional certification is needed.

  • Internal Documents (Minutes, Bylaws, Corporate Resolutions, etc.): These documents must be notarized by a District of Columbia Notary Public who completes the proper notarial certificate (Jurat or Acknowledgment).

Real Property Deed or Records:

  • Documents: Deeds or other instruments relating to real property.

  • Requirement: Must be a certified copy obtained from the District of Columbia Recorder of Deeds in the District of Columbia. No other certification is needed.

Vital Records (Birth Certificates, Marriage Certificates, Death Certificates, Divorce Decrees (or Judgment and Decree). Requirement:

  • Birth, Marriage, Death Certificates: Must be a certified copy signed by the Registrar, obtained from District of Columbia Health, Vital Records Division.

  • Divorce Decrees: Must be a certified copy obtained from the United States Superior Court for the District of Columbia with the triple seal (be sure to request this specifically).

  • Note: No County Clerk step is required. These documents must be submitted as certified copies from the issuing District of Columbia agency and may not be notarized for authentication.

Academic / Notarized Documents (Diplomas, Transcripts, Power of Attorney, Affidavits, etc.):

  • Requirement: These documents must be notarized by a District of Columbia Notary Public. The notary must complete a proper notarial certificate (Jurat or Certificate of Acknowledgment) to make the document eligible. The notary's signature does not need to be certified by a County Clerk. Simple attachment of a notary stamp is insufficient; the notary must complete the required notarial language.

CORPORATE RECORDS IN MINNESOTA: A GUIDE

1. CONFIRMATION OF A COMPANY’S EXISTENCE (GOOD STANDING/STATUS).

  • Official Document Name: The key document is the Certificate of Good Standing (sometimes called a Certificate of Existence or Certificate of Registration).

  • Function: This document is issued by the District of Columbia Department of Licensing and Consumer Protectionand confirms the entity is actively registered, has maintained its required filings, and is in good standing within the District of Columbia.

  • Note on Document Scope: The District of Columbia Certificate of Good Standing is a simple confirmation of the entity’s current active status. If a foreign authority specifically requests a document detailing the company's complete filing history (such as amendments, mergers, or name changes), the history is obtained separately via certified copies of the specific records on file from the Department of Licensing and Consumer Protection.

2. CONSTITUTIONAL (FORMATION) DOCUMENTS. These are public records available:

  • For Corporations: Articles of Incorporation

  • For Limited Liability Companies (LLCs): Articles of Organization

  • Requirement: We retrieve certified copies of these official formation filings, which are signed and sealed by the District of Columbia Department of Licensing and Consumer Protection, Corporations Division, making them immediately eligible for the Apostille process.

We retrieve certified copies of these filings, which are signed by an authorized government official and are ready for the apostillé process.

3. LIST OF SHAREHOLDERS AND OFFICERS:

  • Shareholders/Limited Liability Company Members: This ownership information is generally not public record in the District of Columbia. If international confirmation is required, we assist in obtaining a notarized affidavit from a corporate director or officer verifying current shareholders or members, which can then be apostilled by the District of Columbia Office of Notary Commissions and Authentications.

  • Directors/Officers: The names and addresses of officers or directors are generally not on file with the Department of Licensing and Consumer Protection.

4.  OUR CORPORATE RETRIEVAL & APOSTILLE PROCESS:

  • Identify Needed Documents — Certificate of Good Standing, Incorporation records, etc.

  • Certified Copy Retrieval — We obtain official copies directly from the District of Columbia Department of Licensing and Consumer Protection.

  • Apostille Authentication — We handle the full apostillization process with the District of Columbia Office of Notary Commissions and Authentications.

  • International Delivery — We ship your apostilled documents anywhere in the world.
